General Information & Conditions

Guaranteed departures

All Escorted Coach Tours featured in this programme have guaranteed departures. This means that all tours will be performed regardless of the number of participants. Moreover all the tours in this programme are operated exclusively by Valhalla Partners Scandinavia, and therefore not dependant upon the support or cooperation of other tour operators.

Additional services

Valhalla Scandinavia will be pleased to supply on request, prices of additional services, for example extra hotel nights at the start or end of your tour, transfers, ferries, etc.

Hotels

All hotels in this programme are rated as first class (i.e. 4 or 5 stars by Scandinavian standards), and have in addition been selected because of their excellent locations. All city hotels, except for the Holmenkollen Park Hotel, are centrally located, whilst fjord hotels are situated in areas of outstanding natural beauty and close proximity to their respective fjords. The Holmenkollen Park Hotel has been specially chosen for its unique location, overlooking both the city of Oslo and the Oslo Fjord.

Hotel rooms

Hotel rooms in Scandinavia are normally furnished with twin beds, which can be moved together to form a double bed or placed separately. Please note that single rooms are generally smaller than doubles, and are often equipped with a shower instead of a bath. Purpose-built triple or family rooms are likewise unusual in Scandinavian hotels. Whilst it is possible for 3 persons to share a room, this will normally be a double room with an extra bed, with correspondingly less space to move about in.

Meals

Dinner (3 courses or Scandinavian buffet) and buffet breakfast are included during every day of the tour except on second evening in Stockholm, including dinner on day of arrival and buffet breakfast on day of departure. Please note that in Stockholm we have found that the majority of clients prefer to eat dinner at a restaurant of their own choice. In Russia, both lunch and dinner are included every day. On days which are mostly spent travelling by coach inside Scandinavia, lunch is also included. Days on which lunch is included, are carefully indicated under the list of services for each tour.

Please note that hotel kitchens in Scandinavia normally close around 22.00 hrs, and that in the case of late arrivals it may not be possible to serve dinner after this time. We regret that no refund can be made to clients who arrive too late for dinner. Similarly no refund can be made for clients who are unable to take breakfast at the hotel because of early flight departures. Beverages are not included in the tour price, except where specifically stated in the itinerary. Vegetarian or special diet meals can normally be arranged, however these must be requested at the time of booking.

Extra nights: Clients who have reserved extra nights before the start or after the end of a tour have Scandinavian buffet breakfast included each day.

Service charges, tips and taxes

All service charges and taxes at restaurants and hotels are included in the tour price, therefore tipping is not necessary. Gratuities to your tour manager and driver are, according to custom, entirely at your own discretion.

Luggage

Passengers may bring 1 piece of luggage per person on the coach. Hand luggage must be stowed on the overhead sheVLF. For reasons of security and as a precaution against theft, we strongly advise the use of hardback suitcases which can be locked. On domestic flights inside Scandinavia and Russia, passengers are allowed a maximum of 20 kilos of luggage per person.

Luggage handling

The carrying of 1 piece of luggage per person between the coach and your hotel room during the tour is always included in the tour price. Because of security regulations, passengers are normally required to collect and deliver their own luggage at airports.

City sightseeing tours

These are guided by a local authorised guide. Museums and other places to which entrance is included, are specified in the list of services for each tour. The mention of a famous sight, such as a royal palace, does not imply that entrance to this place is included in the program.

Panorama tours

A panorama tour is intended to familiarise you with the city or town by showing you the major points of interest. Transportation may be by coach or on foot, and the tour may be conducted by a local guide or by your tour escort. A panorama tour does not include any entrances.

Airport transfers

Transfers by car, taxi or bus between the local airport mentioned in the tour itinerary and your hotel on both arrival and departure are always included in the price of our escorted coach tours. Transfers will be arranged to coincide as conveniently as possible with your flight arrival and departure times. All clients will be met at the airport, in the arrivals hall past the customs and passport control, by the driver or a representative of Valhalla Partners Scandinavia, who will carry a sign displaying the surnames of the passengers.

In the case of delayed arrivals due to flight changes or any other causes, then Valhalla Partners Scandinavia is no longer responsible for providing the transfer.

We regret that no refund can be given to clients who do not make use of the transfer offered in the tour program.

For clients arriving or departing on a different day from that published in the tour programme, Valhalla Partners Scandinavia will be pleased to arrange a special transfer, however such transfers will be subject to a supplement, available on request.

Please note that certain airlines now offer cheaper flights to alternative airports from the main city airport, even though these airlines may advertise the destination as Oslo, Stockholm, etc. Such airports can be situated more than 2 hours drive from your hotel. If you are arriving at or departing from a different airport from the one mentioned in the tour program, it is essential that Valhalla Partners Scandinavia is informed about this in advance. Supplements for transfers to/from other airports will gladly be given on request.

Tour escorts

All coach tours are accompanied by an experienced English-speaking tour escort. The tour escort will normally meet you in the lobby at your hotel at 19.50 hrs in the evening on the first day of the tour. Valhalla Partners Scandinavia does not operate bilingual or multilingual tours.

Prices

The prices of our Escorted Coach Tours are quoted in both Euros and US Dollars. Clients resident in the United States will normally be invoiced in US dollars, clients in all other countries will be invoiced in Euros, unless payment in another currency has been specifically requested and confirmed at time of booking. Once a booking has been accepted, the currency cannot be changed. Valhalla Partners Scandinavia guarantees no changes in the prices published in this brochure. A detailed list of all services included in the tour price is to be found under each tour.

Any extra expenses incurred by the client during the tour, for example use of telephone, hotel mini-bars, etc. must be paid directly by the client to the hotel or other provider of such services, before departure.

Booking Conditions

Reservations

All the tours and services in this brochure may be booked through any authorised travel agent in the world.

A deposit equal to 25% of the tour price is payable within 14 days after your booking has been confirmed. The balance is payable not later than 30 days prior to the start of the tour. In the event of a tour being booked less than 30 days prior to the start of the tour, a booking will first be deemed to be confirmed as soon as the tour price has been paid in full. A booking is deemed to be an acceptance of the conditions stated in this brochure.

Children

Out of consideration to other passengers, and because such tours are generally considered unsuitable for younger children, Valhalla Partners Scandinavia will not allow children under 12 years of age on its escorted coach tours. Children between the ages of 12 and 18 will only be accepted if accompanied by an adult.

Payments:

All payments should be made by bank transfer to the account specified on our invoice.

Cancellations & refunds

Cancellations must be made in writing. If you should cancel your tour more than 30 days before the start of the tour, then any payments already received will be automatically refunded, less the deduction of a cancellation fee equal to 10% of the tour price. Cancellations received between 30 and 7 days prior to the start of the tour will be subject to a 25% cancellation fee. In the event of a cancellation being received later than 7 days prior to the start of the tour, or in the case of a no-show, Valhalla Partners Scandinavia reserves the right to charge the full tour price. We recommend you to ask your travel agent for details of cancellation insurance.

Passports & visas

It is your responsibility to ensure that you are in possession of a valid passport before the start of your tour. Certain nationalities may also require a visa for visiting the Scandinavian countries - your travel agent will be pleased to advise you. All nationalities require a visa for visiting St. Petersburg and/or Moscow, which may be obtained from your nearest Russian consulate or embassy. Valhalla Partners Scandinavia will be happy to supply on request a visa support letter to help expedite the issuing of a visa.

Luggage and accident insurance

We strongly recommend you to take out luggage and accident insurance. Your travel agent will be happy to arrange this. Proof of accident insurance is invariably required in connection with visa applications. Valhalla Partners Scandinavia cannot be held responsible for loss of luggage or other personal belongings, or for personal injury, accident or illness. Furthermore Valhalla Partners Scandinavia cannot be required to make any refund in the event of a tour being totally or partially cancelled due to personal injury, accident or illness, once the tour has started.

Complaints

If you should have any reason for complaint during the tour, then your tour escort must be notified at once, so that the complaint can be rectified on the spot. In the unlikely event of a complaint not being resolved immediately, then any claims must be made in writing to your travel agent or direct to Valhalla Partners Scandinavia, within 7 days after the completion of your tour.

Responsibility

Whilst every endeavour has been made to ensure that the services offered by the hotels, transportation companies and other contracted suppliers, are of a high standard and in compliance with local laws and regulations, Valhalla Partners Scandinavia cannot be held responsible for any infringements or omissions by third parties. Similarly Valhalla Partners Scandinavia and its agents and contractors cannot be held responsible for any personal injuries or losses caused by force majeure, or by events outside its control, such as strikes and delayed air flights. Valhalla Partners Scandinavia reserves the right to make any changes in the tour which it deems to be in the best interests of the passengers.
